Innovative Data Systems Group LLC, doing business as Innovative Data Systems ("Innovative Data Systems," "we," "us," or "our"), provides software solutions for organizations in the aging and disability services sector. This Privacy Policy describes how we collect, use, disclose, and protect personal information through our mobile application (the "App"), which is used by drivers and field workers employed or engaged by our customer organizations ("Organizations") to facilitate the delivery of community-based services to clients, which may include home-delivered meals, transportation, in-home services, and other programs.
This policy applies to all individuals who use the App in the capacity of a driver or field worker, whether as an employee or independent contractor of an Organization. By accessing or using the App, you acknowledge that you have read and understood this Privacy Policy.
Because we provide the App to Organizations as a technology platform, both Innovative Data Systems and the Organization that has deployed the App to you share responsibility for how your personal information is handled. This policy describes our practices; your Organization may have additional policies that govern your use of the App in your work capacity.
We collect the following categories of information when you use the App:
The App collects your precise GPS location while you have an active, assigned delivery route. Location data is used to display your position on a map, provide turn-by-turn navigation, estimate travel times, and confirm delivery stops. Location tracking is not active outside of active route sessions.
You can review and adjust location permissions at any time through your device settings. Please note that restricting location access may limit core App functionality.
To facilitate service delivery, the App displays information about clients assigned to your route ("Clients"). This information is provided to the App by the Organization and may include:
Client information is displayed to you solely for the purpose of completing your assigned services. You are expected to treat Client information as confidential and to use it only as necessary to perform your assigned duties.
We use the information collected through the App for the following purposes:
We do not use your personal information for advertising, marketing profiling, or sale to third parties.
Your delivery activity, route data, location history during active routes, and any notes or documentation you submit through the App are transmitted to and accessible by your Organization's administrators through our desktop web application. Your Organization is responsible for determining how this information is used in the context of your employment or engagement.
We engage third-party vendors and technology service providers that process personal information on our behalf in order to operate the App. These providers fall into the following categories: cloud infrastructure and data hosting providers; mapping, navigation, and geolocation services; push notification delivery services; application performance monitoring and crash reporting services; and secure data transmission services. Each provider is contractually bound to process personal information only as directed by us, to maintain appropriate security standards, and not to use personal information for their own purposes.
We periodically review our subprocessors to ensure continued compliance with these obligations. If you would like further information about specific providers, please contact us at the address in Section 13.
We may disclose personal information if required to do so by law, regulation, court order, or governmental authority, or if we believe in good faith that disclosure is necessary to protect the rights, property, or safety of Innovative Data Systems, our customers, app users, or others.
In the event of a merger, acquisition, reorganization, or sale of all or substantially all of our assets, personal information held by us may be transferred as part of that transaction. We will provide notice of any such change in control that materially affects this Privacy Policy.
We do not sell, rent, or trade your personal information to third parties for their own marketing or commercial purposes.
Given the central role of location data in the App, we want to be transparent about our specific practices:
Some service stops may involve Clients who have dietary restrictions or meal specifications that reflect underlying health conditions. This information may be displayed in the App to help ensure correct service delivery. Such information is provided by the Organization based on Client records maintained in their program administration system.
We treat health-related Client information with heightened care. It is transmitted securely, accessible only to authorized users, and used solely for the purpose of supporting accurate service delivery. You are expected to handle this information with appropriate discretion and confidentiality.
We retain personal information collected through the App indefinitely. This reflects the operational and compliance needs of the organizations we serve. Area Agencies on Aging and related service providers operate under federal and state program requirements — including those arising under the Older Americans Act — that create long-term record-keeping obligations. Retaining complete delivery histories supports our customers' ability to meet audit requirements, demonstrate program compliance, track long-term client service patterns, and defend against potential legal claims.
Retention of data is not affected by changes in account status; data associated with deactivated driver accounts or Organizations that have ended their contract with us is retained in accordance with this policy.
Offline data stored locally on your device may be cleared by you at any time through the App's Manage Storage setting. If you have specific questions about the retention of your personal information, please contact us at the address in Section 13.
We implement technical and organizational security measures designed to protect personal information against unauthorized access, alteration, disclosure, or destruction. These measures include encryption of all personal data both in transit (using TLS) and at rest, role-based access controls that limit access to personal information to authorized personnel based on their specific job function, and regular internal security assessments to identify and address potential vulnerabilities.
Offline data stored on your device for use during route delivery is subject to the security controls of your device. We recommend that you use device-level security features such as passcode protection or biometric authentication.
No method of data transmission or storage over the internet is completely secure. While we take our security obligations seriously, we cannot guarantee absolute security. In the event of a data breach that affects your personal information, we will notify affected individuals and relevant authorities as required by applicable law.
Depending on your location and applicable law, you may have rights with respect to your personal information, including the right to access, correct, or request deletion of personal information we hold about you. Because we operate as a service provider to Organizations, some requests related to your personal information in our system may need to be directed to your Organization as the entity responsible for your account.
To exercise any privacy rights or to ask questions about how your information is handled, please refer to Section 13 (Contact Us) for our full contact details.
This section applies to residents of California and supplements the information above. If you are a California resident, you may have additional rights under the California Consumer Privacy Act (CCPA), as amended by the California Privacy Rights Act (CPRA), including:
To submit a verifiable consumer request or to designate an authorized agent to act on your behalf, please contact us using the information in Section 13 below. We will respond to verifiable requests within the timeframes required by applicable law.
We currently do not have customers operating in California. This section is included to ensure our policy is prepared for potential future expansion. We will update this section as needed if and when we begin serving California-based Organizations or users.
The App is intended solely for use by adults (18 years of age or older) in their professional capacity as delivery drivers. We do not knowingly collect personal information from individuals under the age of 18. If we become aware that we have inadvertently collected personal information from a minor, we will take prompt steps to delete that information.
We may update this Privacy Policy from time to time to reflect changes in our practices, the App's features, or applicable legal requirements. When we make material changes, we will update the "Last Updated" date at the top of this policy and, where appropriate, provide notice through the App or via your Organization.
Your continued use of the App following the posting of an updated Privacy Policy constitutes your acceptance of the revised terms.
